The Services for CEO Meeting Rooms should be designed to ensure seamless and uninterrupted meetings for executive-level engagements.

With dedicated team provides comprehensive support for all devices and systems within the CEO meeting rooms, guaranteeing smooth operations and optimal performance.

 

- **Operating Hours:** Sunday to Thursday, 8:00 AM to 5:00 PM.
- **Backup Coverage:** Backup personnel available to ensure continuity during vacations or absences.

**Scope of Services:**

1. **Device Management:**
  - Regular maintenance and testing of all audio-visual equipment, including projectors, screens, microphones, speakers, and video conferencing systems.
  - Immediate troubleshooting and resolution of any technical issues that arise during meetings.
  - Routine updates and firmware upgrades for all devices to ensure optimal performance and security.

2. **Meeting Setup and Support:**
  - Proactive setup and configuration of virtual meetings using MS Teams, Cisco Webex, or any other preferred remote meeting tools.
  - Coordination with the CEO’s office to ensure meeting schedules are accurately maintained and technical requirements are fully understood and met.
  - Real-time technical support during meetings to address any issues promptly and minimize disruptions.

3. **Collaboration with CEO Office:**
  - Close liaison with the CEO’s executive assistants and office staff to align on meeting requirements and expectations.
  - Regular briefings and updates to the CEO’s office on the status of equipment and any upcoming maintenance schedules.
  - Customized support tailored to the specific needs and preferences of the CEO and their meeting attendees.

4. **Service Level Agreements (SLAs):**
  - **Response Time:** Immediate response to any technical issues during meetings.
  - **Resolution Time:** Target resolution of all technical issues within 30 minutes.
  - **Uptime Guarantee:** Commitment to ensuring a minimum of 99.9% uptime for all meeting room devices and systems.

5. **Additional Features:**
  - **Preventative Maintenance:** Regularly scheduled checks and preventative maintenance to preempt potential issues.
  - **Training Sessions:** Training for CEO office staff on the basic operation of meeting room technologies to empower them with troubleshooting skills.
  - **Documentation:** Comprehensive documentation of all technical setups, configurations, and troubleshooting steps for quick reference and continuity.
